Attendance for a 5-clinic chain with rotating staff
How a clinic chain whose nurses, receptionists and pharmacists rotate between five clinics records attendance at the right clinic, with evidence for disputes and without tracking staff during the day.
Illustrative example — the business is fictional; the workflow and features are real Preez.
- Business
- Nirmal Care Clinics
- Clinics
- 5 (Pune)
- Employees
- 34 nurses, receptionists, pharmacists and lab staff
- Shifts
- 08:00 – 14:00 and 14:00 – 20:00
- Before Preez
- Biometric machine at two clinics, registers at three
The challenge
- Staff rotate between clinics each week. Two clinics have a fingerprint machine, three use registers, and none of them talk to each other.
- The operations head merges five different formats every month.
- Clinical staff are uncomfortable with anything that feels like being tracked during their shift.
- When the biometric machine fails, attendance falls back to paper for days.
Setting up Preez
- Creates all five clinics with their locations and attendance areas.
- Assigns each employee their home clinic and adds the clinics they rotate to, with dates.
- Creates morning and evening shifts and marks clinic-specific holidays.
- Shows staff what Preez collects. The app’s Privacy screen says location is read only at check-in and check-out and that the employer can see attendance evidence.
A day with Preez
A nurse rostered at the Kothrud clinic this week checks in there. Preez verifies her location against that clinic and takes a live selfie.
The operations head sees all five clinics on one screen, including a clinic short of a receptionist, while there is still time to send cover.
Evening-shift staff check in. Morning staff check out. No machine to maintain at each clinic; staff use their own phones.
A pharmacist disputes an absent mark. The manager opens the day’s record: time, clinic, location result and selfie. The disagreement is settled in a minute.
Month end
One report across all five clinics replaces five formats. Every correction and manager entry carries a reason and the name of whoever made it, so the operations head can audit changes before exporting to Excel.
Estimated time back
| Task | With registers | With Preez |
|---|---|---|
| Merging five attendance formats | 6 h | None — one report |
| Clinic in-charges transcribing registers | 3 clinics × 2 h = 6 h | None |
| Investigating disputed days | 3 h | Open the record: time, place, selfie |
| Register admin per month | ≈ 15 hours a month | ≈ 1 hour a month |
Assumptions: 6 hours merging biometric exports and registers, 2 hours per register clinic to transcribe, 3 hours on disputes. Try your own numbers in the calculator below. Open the calculator.
What Preez doesn't do here
Preez does not track staff between check-in and check-out, does not use face recognition, and does not replace the clinic’s HR or payroll system.
Questions
Does Preez track staff location during their shift?
No. Location is read only when an employee checks in or checks out. The app never asks for background location permission.
Do we need a biometric machine at each clinic?
No. Staff check in on their own phones with location and a live selfie, so there is no device to buy, install or repair at each site.
