Attendance for a 4-branch repair shop chain
How a repair chain with 26 technicians and front-desk staff across four branches replaces its registers, sees who is in each morning, and closes the month without copying anything into Excel.
Illustrative example — the business is fictional; the workflow and features are real Preez.
- Business
- Fixora Repairs
- Branches
- 4 (Hyderabad)
- Employees
- 26
- Shift
- 10:00 – 20:00, 10-minute grace
- Before Preez
- Paper register at each branch
The challenge
- Each branch keeps a paper register. Technicians sometimes sign in for a colleague who is “on the way”, and nobody can tell afterwards.
- The owner moves between branches and only learns who was late or absent when someone complains, or at month end.
- On the last day of the month, each branch manager types the register into Excel and sends it over WhatsApp. Corrections arrive as voice notes and screenshots.
- When a technician disputes a late mark, it is the manager’s word against theirs.
Setting up Preez
- The owner creates the four branches, places each on the map and sets an 80 m attendance area.
- Adds 26 employees by name and phone number. That is the invitation; each technician installs Preez and signs in with that number.
- Creates one shift, 10:00 to 20:00 with a 10-minute grace, and turns on a selfie at check-in.
- Gives each branch manager access to their own branch only.
A day with Preez
A technician at the Kukatpally branch taps Check in. Preez confirms he is inside the branch area and he takes a live selfie. Attendance is recorded with the server’s time.
A front-desk employee checks in after the grace period. The day is marked late, with the exact minutes.
The owner opens Preez: who is in at each branch, who is late, who has not arrived — without calling any manager.
Staff check out the same way. Anyone who forgets is flagged as a missing check-out and can request a correction the next day.
Month end
The monthly report already has each person’s present, late, half-day, absent and leave days and hours worked. The owner exports it to Excel and sends it to the accountant, who runs salaries exactly as before.
Estimated time back
| Task | With registers | With Preez |
|---|---|---|
| Copying registers into Excel | 4 managers × 3 h = 12 h | None — the report is generated |
| Owner cross-checking the sheets | 4 h | About 1 h reviewing flagged days |
| Chasing corrections on WhatsApp | 2 h | Requests arrive in the app with a reason |
| Register admin per month | ≈ 18 hours a month | ≈ 1–2 hours a month |
Assumptions: 3 hours per manager to transcribe a month of registers for 6–7 people, 4 hours of owner checking, 2 hours of back-and-forth on corrections. Change them in the calculator below to match your business. Open the calculator.
What Preez doesn't do here
Preez does not calculate salaries here. It gives the accountant a clean attendance sheet; payroll stays where it is.
Questions
What if a technician’s phone shows them outside the branch while they are inside?
Indoor GPS can drift. Preez treats uncertain readings as “needs review” instead of rejecting them, so the manager decides. Admins can also widen a branch’s attendance area.
Can a technician check in for a colleague?
Each check-in needs the employee’s own account, their location at the branch and a live selfie taken at that moment, so signing in for someone else stops being a quiet favour.
