Shift attendance for a 3-outlet restaurant group
How a restaurant group with lunch and late-night shifts across three outlets tracks late arrivals, closing-time check-outs and staff who cover another outlet.
Illustrative example — the business is fictional; the workflow and features are real Preez.
- Business
- Tandoor Lane Kitchens
- Outlets
- 3 (Bengaluru)
- Employees
- 42 kitchen and floor staff
- Shifts
- 10:30 – 16:30 and 17:30 – 00:30
- Before Preez
- Notebook at each outlet, weekly WhatsApp summary
The challenge
- Two shifts a day, and the late shift ends after midnight, so “which day was that?” is a regular argument.
- Staff are often sent to cover at another outlet. The home outlet’s register shows them absent; the other outlet does not record them at all.
- Late arrivals during the lunch rush are noticed but not written down consistently.
- Closing staff forget to sign out, so hours worked are guessed at month end.
Setting up Preez
- Creates the three outlets with their locations and attendance areas.
- Creates a lunch shift (10:30–16:30) and a late shift (17:30–00:30). A shift that crosses midnight is recognised from its times; the whole shift counts towards the day it started.
- Assigns each employee a primary outlet and, for cover, adds a temporary assignment to another outlet with start and end dates.
- Turns on a selfie at check-in only, to keep closing time quick.
A day with Preez
A cook checks in 11 minutes after the lunch shift starts. The day is marked late with the exact minutes; the manager sees it straight away.
A server on temporary cover checks in at the Whitefield outlet. Preez verifies her against that outlet because she is assigned there for the week.
The late shift checks out after midnight. The hours count towards the day the shift started.
One closing cook forgot to check out. His day shows as incomplete; he requests a correction with the time he left, and the manager approves it with the reason kept.
Month end
Each employee’s month shows present, late, half-day, absent and leave days, hours worked and overtime. The owner exports it to Excel for the accountant. Cover shifts appear under the outlet where the person actually worked.
Estimated time back
| Task | With registers | With Preez |
|---|---|---|
| Weekly attendance summaries | 3 managers × 1.5 h × 4 weeks = 18 h | None — live in Preez |
| Reconstructing hours for missing sign-outs | 3 h | Correction requests, approved in minutes |
| Owner reconciling cover shifts | 2 h | Cover is recorded at the right outlet |
| Register admin per month | ≈ 23 hours a month | ≈ 2 hours a month |
Assumptions: 1.5 hours a week per outlet manager to compile the notebook, 3 hours rebuilding missing sign-outs, 2 hours matching cover shifts. Use the calculator below with your own numbers. Open the calculator.
What Preez doesn't do here
Preez does not do tips, rosters or payroll. It records who worked which shift, where, and for how long.
Questions
How does Preez handle a shift that ends after midnight?
Shifts can cross midnight, for example 17:30 to 00:30. The whole shift is counted towards the day it started, so late-night hours do not split across two dates.
Can staff work at more than one outlet?
Yes. Employees can be assigned to several outlets, including temporary assignments with start and end dates. Check-in is verified against the outlets they are assigned to.
